How to submit an online request to the border guard service for border crossing

Information from the DPSU database can be obtained in person through a public reception, by regular mail, or most quickly — by email. Requests are processed by the Main Center for Special Information Processing of the DPSU.

Here is the current algorithm for submitting an electronic request:

Step 1. Downloading and filling out the application

You need to download the application form for providing information on border crossing from the official DPSU website (section "Citizens' appeals"). The application must include:

  • Surname, first name, patronymic (in Ukrainian and Latin script, as in the foreign passport);
  • Date and place of birth, citizenship;
  • Passport series and number (internal and foreign);
  • The exact period for which you request information (e.g., from 01.01.2022 to today);
  • Your current contacts (return address, phone, and email).
Step 2. Signing the application using QES (Diia.Signature)

The Border Guard Service does not accept ordinary text letters to protect personal data. The application must be signed with an electronic digital signature.

  1. Print, sign the application manually, and scan it (or fill it out electronically).
  2. Go to the electronic services portal (for example, through the document signing service in the application or on the Diia website).
  3. Apply your QES (Qualified Electronic Signature) or Diia.Signature to the application file. As a result, you will receive a file with the extension .p7s.
Step 3. Submitting documents

Send the generated package of documents to the official email address of the Main Center for Special Information Processing of the DPSU: gcosi-dpsu @dpsu.gov.ua

The following must be attached to the letter:

  • Application file, signed with QES (in .p7s format).
  • A clear scan copy or photo of the first page of the foreign passport (and/or internal passport/ID card).

📌 Important: If you send a request via regular mail, the letter must be sent to the address: 01601, Kyiv, Volodymyrska street, 26. The application must be sealed in an envelope, with physical copies of documents attached.

How long to wait for a response?

According to the Law of Ukraine "On Citizens' Appeals," the consideration of an application and the provision of an official certificate usually takes up to 30 calendar days. However, in practice, if correctly filled out and signed via QES, the Main Information Processing Center tries to send a response to the specified email much faster.

The ready response comes in the form of an official electronic document with the digital signature of the DPSU, which has full legal force for presentation in courts, state bodies of Ukraine, and diplomatic institutions abroad.
